Set up your organization
4 min read · Updated 2026-11-02
An organization is the account workspace for your business or group. A venue is a physical business location; there is no separate venue selector today. A host controls a game, while organization roles control access to tools.
Create an organization
- Create an account and confirm your email if asked. When prelaunch approval is enabled, the first submission requests access without saving your password or creating an account. Return to the form after approval and submit again.
- Name your organization (for example "Friday Night Trivia"). This is the account workspace for your group or business; it does not create a separate venue. You become its Owner. During prelaunch, the organization name needs its own approval before creation; return after approval and submit the same name.
The designated master user and platform super users review requests through Account menu → Admin → Registration requests. Reviewing requires an authorized super-user or initial master Huddle sign-in. On deployments protected by Cloudflare Access, sign in there with the same master address; its verified identity supplies email proof without another email link. Otherwise, use an emailed Huddle sign-in link once to verify the address. Signed-out visitors are directed to sign-in and then back to the queue; an ordinary organization Owner cannot approve requests. Approval and rejection are manual decisions, and the reviewer communicates the outcome directly. Players can still join games without accounts.
Platform super-user support
A Super user is a platform role, separate from an organization's Owner, Manager, Staff and Member roles. Super users have access to all organizations and implemented features; ordinary users keep their assigned organization access.
Super users open Account menu → Admin → Organizations, then Configure plan and features. This selects the organization and opens its access settings; Open all settings remains available for the current organization. The banner provides a direct Switch organization shortcut and shows the selected organization. Changes are made under the super user's own identity. Organization → Settings → Team Members manages invitations, role changes and suspension; Owner transfers are not available.
Admin → Super users adds an existing account with a verified email or removes another super user's access. The initial master account is protected, and you cannot remove your own grant. Access-protected deployments also require the super user's matching Access sign-in. New organizations are included automatically; super-user access does not alter customer memberships, subscriptions or feature switches.
Set it up
Open Organization for the current game and Host Controls, screen readiness, tonight's activity and the next scheduled event. To rename your organization, its Owner opens Organization → Settings, edits Organization name, and selects Save organization name. The saved name appears in the account menu and organization pages after reload. Branding has a separate name for game screens; renaming the account workspace does not change that branding label. Huddle Live hours and its next-game queue expand separately; they are not scheduled Hosted Games. Configuration lives under Settings. Use Games for Schedule, Huddle Live and Venue vs. Venue, and Results for Leaderboard, Analytics, Session History and Study progress. Only tools available to your role and Huddle appear.
The main navigation is Home → Discover → Studio. Find ready-to-host games in Discover, including replayable holiday and seasonal packs; create or edit your own packs in Studio. Open Organization in the account menu for management. The account menu also contains Profile, Appearance, Plan and Sign out.
- Displays: pair each TV. See Displays and TV setup.
- Features and plan: an Owner opens Organization → Settings → Features to see each rollout switch alongside its representative role access and subscription capability. Owners can change the switches and save once. A platform super user can also assign the organization plan in the same form; plan and switches save together. The plan supplies capabilities and numeric limits, the organization switch controls rollout, and the member role controls permitted actions. Billing and checkout are not live.
- Branding: add a name, tagline, logo link and brand color. Huddle checks the logo and color for readability. Logos are set by web link; there is no upload yet.
- Game Night: save default timers and a branding profile for your regular night.
- Content policy: when available, an owner or manager can choose the highest Huddle rating suitable for the audience under Organization → Settings → Content policy. When enforcement is on, games above that maximum cannot be hosted. For example, The Huddle Challenge is rated 10+, so an All Ages maximum blocks it. The choice applies to other eligible games too. See Content ratings.
- Huddle Live: choose hours, categories and promo cards. See Huddle Live.
- Prizes: if Venue Prizes is on for your organization, set the prizes shown before and after games. See Setting up prizes.
- Staff PIN: a private 4-digit PIN protects host controls.
People and roles
Owners invite Managers, Staff and Members from Organization → Settings → Team Members, when member administration is enabled. Invites never grant Owner. A feature switch controls availability; it never grants a permission.
Features
An Owner can open Features to turn optional capabilities on or off for the Huddle.
